"Los production workshop minutos"

18 october 1999

Business:

FOR ANYONE WHO CAN COME, WE WILL BE MEETING WITH MAC ON TUESDAY AT 7:30 (THAT'S THE ONLY TIME HE CAN DO IT) ABOUT NEW PLAYS. COME ONE, COME ALL…

Jarett - R&G - going well, good design run….Andre?! apparently somewhat AWOL, will be dealt with at the production mtg tonight…Jarrett will notify us about building and painting if they need help, etc. - upstairs space - all rehearsals this week

KEEP POSTERING FOR GRANTS!! (5 so far…)

Sarah - money/mission meetings should be mandatory unless there are extraordinary extenuating circumstances

suggestion was made to make directors stipulate that if they have a board member in their show, they'll let that person (s) out for the Sunday meetings

MONEY (heh heh…fun with the funds…)

Apparently our total is something around $35000. Current situation is that there was a $20000 donation, half of which goes to us and half of which goes to the board in five years; there was also an $18000 donation, which hasn't really been decided on yet, but probably will be divided the same way. According to our favorite EJ, we right now have an exciting $28000 to spend!!! holy shit…it's money for student theater!!

Ok…so let's talk spending.

Emily - proposes to break the money into a big portion for PW big stuff like the slide projector, etc. and then a portion for the shows themselves - EMERGENCY FUND? - by demonstrated need rather than by allocating more for every show.

Alex - maybe have two budgets for shows - shows with rights to pay vs. student-written shows…the latter always end up with more b/c they don't have to pay for the rights, so EITHER take down the budget for student writtens and jack up the budget for copyrights shows, OR maybe create a rights FUND? so that shows never have to pay for their own rights?

Sarah - think about show budgets as being more like $600 rather than $500; not tell them they HAVE that extra hundred, but be fairly flexible about funding if it's really nec. stuff

we have been pretty flexible in the last year, so let's just keep that up, and set a precedent for allowing for more shit to be done per show…encourage directors and designers a little more in terms of coming to us to ask for money BUT (says Mr. Aixala) let's be careful abou the money not getting wasted, because it's not like this is just some constant inflow of money for us; we have to use it wisely. so just be aware.

WE'RE GOING TO SET UP A DAY NEXT WEEK TO CLEAN OUT THAT PIT OF RANDOM PIECES OF THINGS AND FABRICS WHICH WE WOULD REALLY LIKE TO CALL THE FURNITURE ROOM….including re-doing the shelves and creating a way to hang the chairs up so everything isn't everywhere AND working on keeping the blacks better in there…

WE ALSO WANT TO REVAMP THE UPSTAIRS SPACE; we need to investigate electricity issues, etc.

WE DO HAVE BANNER SPACE FOR R&G AND FOR 4TH SLOT, SO LET'S USE IT!!

keys have been ordered for us youngsters and will hopefully show up some time soon, since that's the real reason we all joined the board, right guys?

now…more money stuff: there was lots of discussion about all this, but i feel like it's only the final decisions that are totally crucial and this is a fuckin' long email, so if you really want the nitty gritty of what people said, lemme know, and i'll give you a little personal run down…

what we've bought already: slide projector, rear projection screen, three drills, table saw, c wrenches, chalk line, electrical tape. hooray.
